Reckonly Pty Ltd (Reckonly, “we”, “us”, or “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, and protect personal information when you use https://reckonly.com.auand related services (the “Service”).

We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

1. Information we collect

Depending on how you use the Service, we may collect:

  • Account details — name, email address, business name, and optional Australian Business Number (ABN).
  • Receipt and transaction data — uploaded images or PDFs, extracted vendor names, amounts, GST, dates, and related metadata.
  • Integration data — connection details and identifiers needed to sync with accounting platforms such as Zoho Books, Xero, or MYOB.
  • Usage and technical data — log data, device/browser type, IP address, and actions taken in the app to operate and secure the Service.
  • Billing information — subscription plan and payment status. Card details are processed by our payment provider; we do not store full card numbers on our servers.

2. How we use your information

We use personal information to:

  • provide, maintain, and improve the Service;
  • perform OCR and data extraction on uploaded receipts;
  • sync confirmed receipts to your connected accounting software;
  • generate reports such as BAS summaries;
  • authenticate users, prevent fraud, and keep the Service secure;
  • communicate with you about your account, support requests, and product updates;
  • comply with legal obligations.

3. How we share information

We do not sell your personal information. We may share information only with:

  • Service providers — hosting, storage, OCR, email, analytics, and payment processors that help us run the Service under contractual confidentiality and security obligations.
  • Accounting integrations — when you connect a provider and choose to push a receipt, we send the data required to create a draft record in that system.
  • Legal and safety — where required by law, court order, or to protect rights, safety, and security.
  • Business transfers — in connection with a merger, acquisition, or sale of assets, subject to continued protection of your information.

4. Storage and security

Receipt files are stored in encrypted object storage. Access to production systems is restricted, audited, and protected by industry-standard controls. No method of transmission or storage is completely secure; we work continuously to safeguard your data.

5. Retention

We retain personal information for as long as your account is active or as needed to provide the Service, meet legal obligations, resolve disputes, and enforce our agreements. You may delete receipts from within the app; account deletion requests can be made by contacting us.

6. Your rights

Under Australian privacy law, you may request access to, or correction of, personal information we hold about you. You may also withdraw consent for optional processing where applicable, or complain to us if you believe we have mishandled your information.

If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

7. Cookies and local storage

We use essential cookies and browser storage for authentication, security, and preferences such as theme selection. We do not use third-party advertising cookies.

8. Overseas disclosure

Some infrastructure or subprocessors may process data outside Australia. Where this occurs, we take reasonable steps to ensure recipients handle information in a manner consistent with the APPs.

9. Children

The Service is intended for businesses and is not directed at individuals under 18. We do not knowingly collect personal information from children.

10. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be posted on this page with a revised “Last updated” date. Continued use of the Service after changes take effect constitutes acceptance of the updated policy.
